Assistant to the Manager
Under the direction of the On-Site Association Manager, the Assistant to the Manager supports the daily operations of the community and assists in all administrative, compliance, communication, and event-related functions. This role is essential to ensuring smooth operations, strong homeowner relations, and compliance with governing documents, while upholding CMA’s Mission Statement and Values.
Key Responsibilities
Assist with daily office operations, scheduling, correspondence, and phone/email communications
Coordinate vendors, on-site staff, work orders, contracts, invoices, and insurance documentation
Support compliance efforts, including community inspections, violation notices, and ARC/ACC processing using CINC
Prepare and distribute Board and committee meeting materials; attend meetings and record minutes
Assist with Annual Meetings, elections, and homeowner communications
Maintain association records, contracts, warranties, and document retention
Prepare community e-blasts and update the association website
Assist with planning and executing community events and social activities
Qualifications
Education & Experience
High school diploma or GED required
3–4 years of related administrative, property management, or HOA experience preferred
CMCA certification preferred
Skills & Competencies
Strong communication and interpersonal skills
Excellent organizational, planning, and time-management abilities
Sound judgment and decision-making skills
Dependable, self-motivated, and able to work with minimal supervision
Proficient with Microsoft Outlook, Excel, and community management software (CINC preferred)
