Assistant to the Manager

Frisco, TX

Under the direction of the On-Site Association Manager, the Assistant to the Manager supports the daily operations of the community and assists in all administrative, compliance, communication, and event-related functions. This role is essential to ensuring smooth operations, strong homeowner relations, and compliance with governing documents, while upholding CMA’s Mission Statement and Values.

Key Responsibilities

  • Assist with daily office operations, scheduling, correspondence, and phone/email communications

  • Coordinate vendors, on-site staff, work orders, contracts, invoices, and insurance documentation

  • Support compliance efforts, including community inspections, violation notices, and ARC/ACC processing using CINC

  • Prepare and distribute Board and committee meeting materials; attend meetings and record minutes

  • Assist with Annual Meetings, elections, and homeowner communications

  • Maintain association records, contracts, warranties, and document retention

  • Prepare community e-blasts and update the association website

  • Assist with planning and executing community events and social activities

Qualifications

Education & Experience

  • High school diploma or GED required

  • 3–4 years of related administrative, property management, or HOA experience preferred

  • CMCA certification preferred

Skills & Competencies

  • Strong communication and interpersonal skills

  • Excellent organizational, planning, and time-management abilities

  • Sound judgment and decision-making skills

  • Dependable, self-motivated, and able to work with minimal supervision

  • Proficient with Microsoft Outlook, Excel, and community management software (CINC preferred)
